This article is intended to provide additional guidance for District Administrators with the School District Admin role in PAETEP when managing users and their roles. Role management is important to ensuring that PAETEP users have the appropriate access rights to the tools found within the system.

User Roles Explained
The Five Basic User Roles
There are 5 basic roles for certified educators within PAETEP:
- Teacher
- NTP (Non-Teaching Professional) and associated discipline specific sub-role (i.e., School Counselor, etc.)
NTP Supervisor* - Used with NTP Supervisors to allow the supervision of teachers and non-supervisory NTPs, and Support Staff.
- Building Principal* - This role is given to any Principal and/or Assistant Principal. This role allows the user to evaluate and supervise teachers, NTPs, and support staff
- School District Admin - This role is typically given to the Superintendent, Assistant Superintendent, Human Resource Director and any other user that needs to manage the district's portal. School District Admin users can evaluate and supervise all other user types (e.g., Teachers, NTPs, Support Staff, Support Staff Supervisors, NTP Supervisors, and Principals).
*If given the building lead designation via the assignments tab, these users can supervisor users with the same role. For example, NTP Supervisors with the building lead designation can supervisor other NTP supervisors and any support staff supervisors. Principals with the building lead designation can supervisor other Principals and any support staff supervisors.
For those clients that have added the Custom Form module and signed an amendment to include and evaluate their support staff within PAETEP, the following basic roles are used.
- Support Staff (e.g., paraprofessionals, administrative assistants, custodians, maintenance, food service, etc.)
- Support Staff Supervisor (e.g., maintenance supervisor, food service supervisor, etc.)
Registered User - The system will always require that users have the Registered User role, which is automatically assigned at user creation. Do not remove this role.
Understanding Role Configuration
Some roles within PAETEP are stand alone roles and some roles need to be combined with other roles to give the user the correct access.

NTP Role and Sub-Roles
The NTP (Non-Teaching Professional Educator) role is always used in conjunction with another discipline specific NTP sub role (i.e., school counselor, social worker, etc).
NTP Non-Supervisors - If a user is an NTP non-supervisor, then the NTP role must be combined with one of the following NTP non-supervisory discipline specific sub roles.

Note - The NTP Other role for non-supervisors is an NTP sub-role that can be used when one of the specific NTP sub-roles do not apply or when the teacher role is deemed inappropriate.
NTP Supervisors - If a user is an NTP supervisor, then the NTP role must be combined with one of the following NTP discipline specific supervisory sub roles AND the NTP Supervisor role. The NTP Supervisor role allows an NTP supervisor to perform evaluations and enter evidence for other non-supervisor NTPs, teachers, and/or support staff.

Note - The NTP Other Supervisor role can be used when one of the specific NTP Supervisor roles (Supervisor of Special Education, Supervisor of Curriculum and Instruction, Supervisor of Pupil Services, or Supervisor of Vocational Ed) do not apply. Teachers with Unique Roles
According to Act 13...
- Classroom Teacher is defined as a professional employee or temporary professional employee who provides direct instruction to students related to a specific subject or grade level.
- Nonteaching Professional is defined as an educational specialist or professional employee or temporary professional employee who provide services and who is not a classroom teacher (including, counselors, dental hygienists, home school visitors, instructional technology specialists, nurses, school psychologists, social workers, speech and language pathologists, instructional coaches, or supervisors of curriculum and instruction).
In some instances an LEA may have a professional employee or temporary employee working in a unique role. Based on the definitions above, LEAs should decide whether the individual with a unique role is treated as classroom teacher or nonteaching professional. When making these decisions, PDE recommends that the district consult their solicitor. For guidance from PDE, please contact RA-PDE-Evaluation@pa.gov.

- Classroom Teachers - Professionals with unique roles that are determined to be classroom teachers should be given the Teacher role within PAETEP.
- Nonteaching Professionals - Professionals with unique roles that are determined to be nonteaching professionals should be given the NTP and NTP Other role within PAETEP.
Step-by-Step Guide (Updating User Roles)
Note: Only District Admins can add or remove roles from a user.
Step 1: Navigate to the User Management > All Users
Step 2: Find the employee you wish to update using the filter and search options
Step 3: Open the User's Profile Page, by clicking Actions > Edit
Step 3: Navigate to the "User Role" tab, and select (or deselect) the role you wish to update. Then click "Update User"

Q: Why can't I update the Paraeducator role?
For districts who utilize PAETEP and COMPLY, the Paraeducator role must be updated from the user profile page in COMPLY.
