Summer Maintenance - Tips to Clean Up Your Portal

As you prepare for the new school year, we wanted to provide you with some quick tips that will help you hit the ground running this Fall. Please take a look below at the list of suggestions for administrative users to review and complete prior to next school year. 


13 Rating Forms

Complete 13 forms for the 2025-26 school year.  

  • Annual 13 Forms - Supervisors can begin working on Annual 13-1, 13-2 and 13-3 forms, but most forms will not be able to be finalized until the Fall when PDE releases 2025-26 Student Performance Data (building scores and teacher specific data). 
  • Semi-Annual 13 Forms - Supervisors should finalize Semi-Annual forms for nontenured Teachers and NTPs, as 100% of the final score comes from Observation and Practice.  Note - According to Act 13, non-tenured Teachers and NTPs should have two semi-annual forms completed each year. Building Assignments

Change building assignments for teachers who will be moving to a different building in the Fall. If the 13 annual rating form is not completed, it is best to leave the teacher in their current building, however, they can also be added to a new building. That is, users can be housed in two buildings. Learn more - Assigning Users to Buildings.

Retiring Teachers "Archiving Users" 

Move retired employees to an Archive building to inactivate them—there is no need to remove their roles. It’s important not to remove or archive users until all 13 forms for the previous school year have been completed. This includes retiring teachers, administrators, employees, and support staff who are leaving the district.   Learn more - Archiving Users.

Name Changes

Update names, emails, and usernames from the User Management > All Users page. Names can be updated in bulk from User Management > User Onboard & Update. Learn more - Changing a User's Name/Email.
  

Non-Tenured Professionals 

Update the non-tenured status of users. Learn more - Changing a User's Tenure Status.

Role Changes

Make any role assignment changes for individual users moving into a new position. Emergency‑certified teachers and substitute teachers who are upgraded to full‑time roles will need to have this role designation removed . This ensures accurate evaluation assignments and reporting for the new school year.  Learn more - Understanding PAETEP User Roles.

New Employees

There are several options for creating accounts for new users including bulk user onboarding, creating accounts for a user manually, and/or giving users the option to self register. Users can self-register using either their email or Single-Sign On. Learn more - Adding New Users.

New Supervisors and Administrators

Create accounts for any new supervisors through bulk user onboarding, and/or creating accounts manually. New supervisors and admins cannot self register. Learn more - Adding New Users.

Reporting

Use the Observation Summary report to verify completion of district‑required evaluations. Identify component areas of strength and growth across the district and within individual buildings to help guide professional development planning for the upcoming school year.
     

Presets

With PAETEP, LEAs can create an unlimited number of prefilled SPMs, IEPs, and/or PGs Presets. For example, if a district wants all their special education teachers to complete a similar SPM. For those districts that are using the SLO format, presets can be created to prefill proficiency targets. Learn more - Creating Presets for the SPM/IEP/PG and SLO

Adding PPID#

It’s important to remind users to add their PPID numbers to their accounts in order to map Teacher Specific Data. A PPID number can be added by any district admin, by the teacher directly, or by contacting our support team, who can add it on their behalf.   • LEA Select Measure - According to Act 13, only tenured teachers should complete an LEA Selected Measure (SPM or SLO) each year. Learn more - Student Performance Measure (SPM)


  • IEP Goals Progress - According to Act 13, some teachers are required to complete an IEP Goals Progress each year.  A teacher should consult their district regarding the established 'n' count to determine if they are required to complete an IEP Goals Progress at the beginning of each school year. Note - The requirement to complete an IEP Goals Progress is in addition to the requirement to complete a SPM.  Learn more - IEP Goals Progress


  • NTP Observation-An NTP Observation can be used with principals and supervisors of special education to collect evidence for the Observation and Practice portion of the 13-2 form. This, along with possibly walkthroughs, custom forms, and anecdotal notes will make up 70% of the overall rating. This counts as your Comprehensive Observation for those staff members.
